Pay stubs are known as PDFs which are password protected. QuickBooks has a feature when you email pay stubs to the employees, it asks for a password. This feature cannot be disabled because of employee privacy issues.
How to Fix QuickBooks Paystub Password?
Note: The password needed to change with the QuickBooks Desktop 2018 and later. As an employer, you’ll get a message explaining the updated password needed in the product. You will require to inform each of the employees of these changes, So they can continue to open their paystubs.
Step 1: Update Your QuickBooks
Firstly, go to the Help menu. Select Update QuickBooks Desktop.
Secondly, click on the Update Now tab. You can choose the Reset Update checkbox for clearing all the previous update downloads.
Then, choose the Get Updates option to start the download.
After the download completes, restart your QuickBooks.
At the end, when prompt, agree to the option to install the latest release.
Step 2: Verify Your Email Settings
To fix the QuickBooks Paystub password, follow these steps:
In QuickBooks, click on the Edit menu and choose Preferences.
Then, choose the Send Forms menu and click on the My Preferences tab.
Now, in the Send Email Using section, choose one of the options
If you use Yahoo, Gmail, or likewise email services, choose Webmail.
If you utilize MS Outlook, choose Outlook.
If you operate the QuickBooks email service, choose QuickBooks Email.
When you’re all set, choose OK.
Step 3: Email Paystubs
Now, to proceed with the QuickBooks Paystub password, follow the given steps:
Firstly, navigate to the File menu and choose Switch to Single-User Mode. Don’t choose “Switch to Multi-User Mode”. You’re already in the Single-user mode.
Secondly, again go to the File menu and click on the Print Forms. Then choose Pay Stubs.
Now, choose the Bank Account that you use for Payroll.
After that, set the date range for the paystubs which you want to email.
Next, choose the employees you want to email the paystub. You can also choose and remove the checkbox which is next to an employee's name if you don’t involve them.
Note: Ensure that there are no brackets or parentheses in your employee’s name. If there are any, they won’t be able to access the email.
After that, choose Preview to see each pay stub before sending them. Then choose Email.
Now, QuickBooks automatically creates a password for each email and employee. Tale a note of the passwords by which you can provide them to the recipients. Click on OK twice to confirm.
Here, enter the email addresses of each employee one at a time. You will have a chance to recheck them at the end.
Review the emails from the Send Forms Window. You can edit the From and To, subject line, fields, and email body. You can also choose one of your email templates.
When you’re all set, select Send Now.
